What to expect when booking your Woodland Lodge Holiday

From the moment you visit our website and decide to stay with us, we aim to make you welcome every step of the way and ensure your stay is as perfect as it should be.  Please read through our booking conditions for important information on making your booking and what to expect:

DEPOSITS AND BOOKING CONTRACT

You will receive and acknowledgement immediately by return at time of booking and this will be followed up by a direct confirmation email letter from us. Bookings made through our online booking system are provisional until confirmed by that follow up email.

A deposit of 25% is required with completed booking form with balance payable 42 days before arrival. Full payment is required with bookings made within 42 days of arrival date.

DIRECT BOOKINGS

 For direct bookings from our website we offer several discounts on occupancy and length of stay, early and last-minute bookings. We can also offer early and late checkout (as available) on direct bookings. All special offers are subject to availability. Booking direct always offers best prices. If you have booked through Booking.com we do not offer any under occupancy discounts and the price paid via Booking.com will always be more expensive than booking direct. CANCELLATION POLICY

When COVID-19 hit the world, we were all met with unexpected scenarios. Many insurance companies now can offer you some protection against Covid related cancellations.

You can take up insurance through our booking system and Booking Protect that would cover the last 7 days. This has to be taken up before the balancing payment is made or full payment if booking is when 42 days. For more information please see our website or links in your confirmation email.

We still offer pretty amazing flexible cancellation terms & conditions  considering our small size and we would like you to be able to book with confidence we can still offer you the ability to cancel free of charge up to 7 days before arrival. The key points and conditions of our terms are listed below.

KEY POINTS:

  • You must cancel your holiday in writing by email or letter.
  • Cancellations will attract a full refund if made up to 7 days prior to arrival date. Example: For a check in on Saturday, Guests could cancel as late as the prior Saturday by midnight. We would, however, as a small family business, ask that you give us as much notice as possible.
  • If you cancel before these last 7 days you will receive a full refund of the costs you have paid.
  • If you cancel later than these 7 days before your arrival date your full payment will not be reimbursed.  We would therefore highly recommend that for your own peace of mind, you take out your own travel insurance to cover a booking cancellation. If you do not choose to cover your holiday then you accept responsibility for any loss that you may incur due to your cancellation.
  • If for any reason we must cancel due to circumstances beyond our control (force majeure), you will be offered the opportunity to rebook, receive a voucher or be refunded in full.  If we must terminate your holiday early for circumstances out-with our control you will be refunded part of the cost of the holiday based on the time remaining for the booking.  This will be the full extent of our liability. No additional compensation, expenses or costs will be payable. 

Arrival and Departure Times

Our Reception is open between 4pm and 6pm.

We have kept many of the Covid19 protocols, are still following current government and industry guidelines and are still taking additional measures to ensure your lodge is ready for your arrival. This means that our arrival times continue to be  between 4 and 6pm. We can sometimes however, offer and earlier arrival time at 3pm, please just get in touch before arrival on site and we will let you know if that is possible on the day. Also if you are travelling a little further we can arrange for arrivals after 6pm, just give us a call.
Lodges still need to be vacated by 10 am on the morning of departure at the very latest.

Housekeeping Arrangements

 Following on from industry guidelines during the Covid 19 outbreak we have committed to keep some of the recommendations in order to minimise the risk to our employees and other visitors.The person booking is responsible for the lodge, its furnishings and for ensuring that accommodation is left in a clean and tidy condition. We reserve the right to ask for a good housekeeping deposit of £100 on arrival by card or cash.

We hope that you might continue with us to:

  • Please strip the beds of sheets, pillowcases and duvet covers & place in the tartan linen bag provided
  • Please ensure all cutlery and crockery has been fully cleaned with hot water and washing up liquid, dried and put away. Please return any inventory to other lodges if you have booked more than one lodge.
  • Once you are happy that you are finished using the cloths, dish towel, hand towel etc please place these towels and clothes in the shower/bath.
  • Please ensure all waste is removed from the lodge before you leave and is placed in the bins at the recycling centre.
  • Please open all windows before departure on first catch.
  • If more than one lodge is booked, then on departure all inventory must be returned to its original lodge. We inspect all lodges on departure.
  • In the interests of Fire Safety and the comfort of our other guests there is no smoking allowed in the lodges Failure to observe our no-smoking policy will result in the hirer being charged a fee of £100, plus any additional cleaning costs incurred. Smoking is permitted on the veranda as long as doors are closed and ashtray is used.
  • The number of persons occupying the property during the hire period must not, at any time, exceed that completed on the booking form. Our maximum occupancy for fire safety and legal reasons is 4. Day visitors are welcome by prior arrangement. We will ask for vehicle registrations on arrival.

 Our Pet Charter

Dogs are most welcome (we do not accept cats, or any other animals) but if you intend to bring your dog they must be booked in advance. (if booked through Booking.com payment can be made on site in cash only £5 per night/£35 per full week). We have only had to make some rules as we have been let down in the past:

  • Whilst in the grounds we must insist that your dog is always kept on a lead.
  • You must clean up after your dogs and all waste must be disposed of in a bag in the green lidded bin at recycling centre.
  • At no point should dogs be left in the lodges on their own, unless you are happy to leave them in a bedding crate.
  • Dogs are NOT allowed in bedrooms on beds or on any other furniture.
  • Failure to observe this policy will result in the hirer being charged a minimum cleaning fee of £50.
  • As a dog owner ourselves, if you find you have forgotten anything please let us know and we can endeavour to help you out.

Rates

 Bed linen is supplied as appropriate to confirmed booking numbers and is included in the cost, however, bath towels are not. A hand towel, bathmat and dish towel and cloths are provided for use free of charge. If you need to use both bedrooms then let us know in advance (i.e. a bed in each room)

  • Our rates include the reasonable use of all services including electricity, water and gas. We currently cannot allow the charging of EV from a supply within the lodge see our EV charging policy.
  • Highchair or travel cot must be booked in advance to ensure availability and cleaned and returned to the reception after use. Current rates are on our website.
  • We have a few barbecues for free use within the grounds. These must be booked in advance to ensure availability and cleaned and returned to the reception after use.

 Wi-Fi

Our wi-fi is available free of charge. Our WiFi giving a wired access point in each Lodge. Internet is still subject to disruption from the Openreach network basically as would happen at home.

VAT

VAT is included in all charges. Stays taken from 1st April at 20%. VAT is recorded at point of arrival not on payment of stay.

EV Charging Policy

About this policy

We do not have on-site charging facilities at the Property and you must make your own arrangements for EV charging. The closest charge points to the Property can be currently found at Tesco Supermarket, Welton Road Blairgowrie, Lidl, and Starbucks, Perth Road Blairgowrie, The Blairgowrie PKC Carpark, Leslie Street, Blairgowrie.   • This policy sets out how Electric Vehicles (EV) should not be recharged while at the Property.
    Any reference to “Property” in this policy is a reference to the Property including any garden, grounds, outbuildings, garages or communal spaces.
    This policy forms part of our contract with you. A breach of this policy will constitute a breach of the contract between us.
  • Who does this policy apply to?
    This policy applies to all members of the Booking Party and such other visitors of the Property. It shall be the responsibility of the Lead Guest to inform all members of the Booking Party and any visitors of this policy.
  • What is an Electric Vehicle?
    For the purpose of this policy an EV is any vehicle that uses electric motors, either fully or partially, to drive its wheels. It will derive some or all its power from rechargeable batteries which requires connection to the electricity grid (plug-in). This includes fully chargeable and plug-in hybrid cars, motorbikes, buggies, scooters, mopeds, bicycles, utility vehicles and tracked vehicles.
  • Domestic chargers are not permitted at the Property
    Most EVs are supplied with a domestic charger, commonly known as a ‘granny charger’ or a ‘trickle charger’. These cables recharge the EV using a domestic power source via a 3-pin wall socket.
    Domestic chargers are not suitable for use in the Property and will create a fire hazard. The use of domestic chargers is strictly forbidden.
    We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use in the Property.
    You are solely liable for any damage or loss suffered by us as a result of your unauthorised use of domestic chargers.
