What to expect when booking your Woodland Lodge Holiday

From the moment you visit our website and decide to stay with us, we aim to make you welcome every step of the way and ensure your stay is as perfect as it should be.  Please read through our booking conditions for important information on making your booking and what to expect:

Ericht Holiday Lodges – Booking Terms & Conditions

These terms apply to bookings made directly with Ericht Holiday Lodges. Please read them before booking. By completing a booking, you confirm that you accept these terms on behalf of everyone included in your booking.

1. Your booking

Your booking is confirmed when you receive confirmation from Ericht Holiday Lodges.

The person making the booking (“the lead guest”) must be at least 25 years old, must be staying at the lodge for the duration of the booking and is responsible for ensuring that everyone in their party complies with these terms.

Only the guests included in the booking may occupy the lodge, and the maximum occupancy of the lodge must not be exceeded. Please contact us before inviting additional visitors to the property.

2. Payment

The price and payment arrangements applicable to your stay will be shown when you book and confirmed in your booking confirmation.

Payments must be made by the dates stated in your confirmation. If payment is not received when due, we will contact you before taking any action to cancel the booking.

3. Cancellation by you

You may cancel your booking free of charge until 7 days before your scheduled arrival date.

If you cancel within the 7 days before arrival, you may be charged up to the total price of your booking. If we are able to re-let all or part of your cancelled stay, we will take this into account when determining any cancellation charge or refund due.

If you do not arrive for your booking and have not cancelled it, the total booking price may be payable.

We strongly recommend that guests have appropriate travel insurance to cover circumstances that may result in cancellation.

Bookings for holiday accommodation on specified dates do not have the statutory 14-day cooling-off period that applies to many online purchases. Legislation.gov.uk

4. Changes to your booking

If you need to change your dates, lodge or other booking details, please contact us as soon as possible.

We will always try to help, subject to availability. Any change in price resulting from an alteration will be explained before the change is confirmed.

5. Cancellation or changes by us

In the unlikely event that we are unable to provide the accommodation you have booked for reasons within our control, we will contact you as soon as possible and offer an appropriate alternative where one is available or refund payments made for accommodation we are unable to provide.

Nothing in these terms affects your statutory consumer rights.

6. Arrival and departure

Check-in is normally between 4pm and 6pm.

If you expect to arrive later, please contact us in advance so that alternative arrangements can be agreed. We are unable to accommodate very late or unarranged arrivals.

Check-out is by 10am on your departure day unless otherwise agreed.

7. Peace, quiet and consideration for our neighbours

Ericht Holiday Lodges is a small, peaceful site and we ask guests to respect our neighbours and other guests.

The children’s play area closes at 9pm.

From 10pm, guests should move indoors and outdoor activities likely to cause disturbance — including barbecues, outdoor drinking, music and social gatherings on lodge decks or elsewhere in the grounds — should finish.

Guests returning later in the evening should do so quietly and keep vehicle and other noise to a minimum.

Parties, excessive noise and behaviour likely to cause a nuisance or disturbance are not permitted at any time. Hen, stag or similar parties are not accepted.

8. Children

Children are very welcome at Ericht Holiday Lodges and remain the responsibility of their parent or accompanying adult at all times.

Cots are available by prior arrangement and subject to availability. Please be aware that in some lodges a cot may need to be positioned in the living area rather than a bedroom.

9. Dogs

Dogs are welcome in designated dog-friendly lodges by prior arrangement, with a maximum of two dogs per lodge.

The applicable dog charge will be shown or confirmed when booking.

Dogs must be kept under appropriate control around the grounds and must not cause a nuisance to other guests or our neighbours. Owners are responsible for cleaning up after their dogs.

Dogs are not permitted on beds or furniture.

Please contact us before booking if you have any questions about bringing your dog.

10. Smoking and vaping

Smoking and vaping are not permitted inside any of our lodges.

Guests who smoke or vape outdoors should do so considerately and dispose of cigarettes and other waste safely.

11. Care of your lodge, damage and excessive cleaning

We ask guests to look after the lodge, its contents and the grounds during their stay and to leave the accommodation in a reasonable condition on departure.

Please tell us as soon as possible about any accidental damage or breakages. We understand that accidents happen.

Guests may be responsible for the reasonable cost of damage, missing items or additional cleaning required beyond normal use where this has been caused by members of their party or their dogs.

We reserve the right to request a refundable security deposit of up to £100 before or on arrival where we reasonably consider this appropriate. Taking a security deposit does not limit responsibility for damage costing more than the amount of the deposit.

12. Vehicles and parking

Parking is provided for guests staying at the lodges.

Commercial vehicles and vans are not permitted to be parked alongside the holiday lodges unless agreed with us in advance.

Guests are responsible for their vehicles and belongings while on the property and should drive carefully and considerately within the grounds.

13. Guest information and identification

The lead guest must provide accurate information when booking and we may request details of the other guests staying in the lodge.

UK accommodation providers are subject to statutory guest-record requirements. The legislation requires certain information to be recorded for guests aged 16 and over and additional passport/identity and onward-destination information for some overseas guests. Legislation.gov.uk

Where this applies, we will ask you for the information we are legally required to record. Personal information will be handled in accordance with our Privacy Policy.

14. Accessibility and emergency arrangements

Our A-frame lodges have individual layouts and may not be suitable for every accessibility requirement.

If you or anyone travelling with you may need assistance in an emergency, or has an accessibility requirement that could affect the suitability of a particular lodge, please contact us before arrival. We will be happy to discuss the lodge layout and any reasonable assistance we can provide.

15. Problems during your stay

We live on site and would much rather have the opportunity to resolve a problem while you are here.

If anything is not as expected, please let us know as soon as reasonably possible so that we have an opportunity to investigate and, where possible, put things right.

16. Unacceptable behaviour

We reserve the right to require guests to leave where there is serious or repeated behaviour that causes significant nuisance or disturbance, presents a safety risk, involves deliberate or significant damage, or represents a serious breach of these booking conditions.

Where circumstances allow, we will first give the guest an opportunity to resolve the problem.

Any action we take will be reasonable and proportionate to the circumstances.

17. Our responsibility to you

We will provide your accommodation with reasonable care and skill and as described at the time of booking.

We are not responsible for events genuinely outside our reasonable control, but if such an event prevents us from providing your accommodation we will deal with the situation fairly and in accordance with your statutory rights.

Nothing in these terms excludes or limits liability where it would be unlawful for us to do so, including liability for death or personal injury caused by our negligence.

18. Governing law

These booking terms are governed by Scots law. Nothing in these terms affects any statutory rights you have as a consumer.
